The Calendar provides a task and event manager that allows you to stay ahead of all that is happening in your life. A task list shows a listing of your tasks and events, while a calendar provides a simple way to view all your events. Groups all you to organize your tasks and events to make it easy to keep them separated.
On the left, you will see a listing of your tasks and/or events. Above the list are three different choices for viewing your list. All task and events are grouped together into groups. The first dropdown allows you to choose which group you want to view in your list. The second dropdown allows you to narrow the list even further by showing those items that fall in a particular category; for example, only the events that fall on the coming week. The third and last dropdown allows you to show the task in a particular order.
Both tasks and events are able to be checked off the list. To mark an item as being completed, just click on an item in the list. This will not delete the item; rather, it allows you to keep track of what you have finished and what you have not. When an event has been marked complete, it will no longer appear on the calendar.
You can easily see whether an item in the list is an event or task by looking at the circular button on the right side. The letter “T” stands for task while the letter “E” stands for event. If you wish edit the item, just click this button and it will open the editor. Clicking the “X” will delete the item.
On the right, you will see a calendar displaying which also shows your latest events. Above the calendar is a series of buttons that allow you to navigate the calendar. On the left, you will see two buttons that allows you to quickly change how the calendar is displayed. You can view the calendar as a list which will show you two months at one time; or you can view the calendar in the traditional month view.
In the center, you will see five buttons for navigating the calendar. The double arrow buttons allow you to change the year, the single arrow buttons change the month, and the circle button in the center shows the current month. (Note: Today’s date is visible at the top right corner of the calendar in the gray header.)
To view the data in a task or event, just click the “T” or “E” button on the item in the task list. To quickly view the details of an event, just roll over the item on the calendar. This will display an overview of the event. When events appear on the calendar that span multiple days, they appear as individual items that occur on each day. When an event has been marked complete, it will no longer appear on the calendar.
There are three different ways for creating a task or event. The first is to press the “New Task/Event” button on the left. This second is to click a day on the calendar. The third is to right-click a task or event and select “Create New From This…”. All three of these options will then open the editor. The new item will be created once the “Submit” button is pressed.
The editor opens whenever a task or event is being created, edited, or viewed. It allows you to easily view the information or make changes.
At the top, you can easily designate the item as either a task or event. Tasks will show in the task list, however, they do not appear on the calendar. Events appear in the task list and on the calendar. Tasks have far less information that can be added than events. Each item is as follows:
- Title: This appears on each item in the task list and on the calendar.
- Group: This is the group to which the item is assigned.
- Dates (events only): These are the dates during which the event takes place.
- Times (events only): These are the times during which the event takes place.
- Repeat (events only): When this is clicked, a box will open guiding you through the process of creating a repeating event. Repeating events appear as separate items in your task list so that you can mark each one individually as being completed. However, the system still views this as one event that repeats.
- All Day (events only): This marks an event as happening all day for one day.
- Place (events only): This provides a location for the event.
- Link: This provides a link which may be associated with the item. A valid link will enable the arrow button to the left. Clicking this button will open your default browser to the location of the link.
- Details: This provides the details of the item. HTML 1.0 tags may be used if desired. Available tags include: <a> <font> <br> <p> <ul> <i> <b> <u>.
- Remind (events only): This indicates when the reminder should appear in relation to the event. If you do not want to be reminded, just set the reminder to “0”. In order for the reminder to appear, the application must be open at that time.
- Priority: There are two priority settings: high or low. When an item has a high priority, a star appears before the item in the task list.
To delete an item, either click the “x” button on the item in the task list; or right-click on the item and select “Delete…”.
You can edit both tasks or events by clicking the “T” or “E” button on the item in the task list. You may also right-click on the item in the task list and select “Edit..”. For events, you may easily edit an item by clicking on the event on the calendar.
To create a new group, click the “Edit Groups” button above the task list. At the top, give your new group in the box labeled “Create New Group”. Choose the color you would like to represent this group. Finally, press the green plus button to the right. Once you are done, press “Finished” to return to the task list.
To edit a group, click the “Edit Groups” button above the task list. A list of all your groups will appear. Click on the group you would like to edit. You should now be able to change the name and the color by entering the information in the box labeled “Edit Group”. Once you have finished, press the green plus button to apply the changes. If you wish to cancel and not apply the changes, press the “Esc” key. Once you are done, press “Finished” to return to the task list.
To delete a group, click the “Edit Groups” button above the task list. A list of all your groups will appear. Click on the “x” button of the group you would like to delete. You cannot delete the top group as one group is always needed. If a group has tasks or events, you will then be asked what to do with those items. You can move them to another group or delete them. Once you are done, press “Finished” to return to the task list.
Items To import a valid calendar file, click “import”. A dialogue box will appear allowing you to select a file for import. The application will then attempt to import the data into your calendar. If it could not import anything, you will be informed. If it could, a new group will be created with the items added. The standard color for all imports is blue. You may then change the name and color of the group by clicking “Edit Groups”.
There are 3 different types of calendar files you can import into the system: xml, ics, and csv.
- XML: The Integr@te calendar uses an xml file. XML is a generic file format used to categorize information and is used by many different applications to store data. Integr@te uses a specially formatted xml file which can be exported from the system. Therefore, you can import xml files into the system which were created by Integr@ate. This is the best format for creating a backup of your calendar.
- ICS: The calendar can also import iCalendar files which have become a standard across many different calendar applications. This format is used by Google Calendar and iCalendar (MAC).
- CSV: CSV stands for “comma separated values” which is a format used by Microsoft Outlook. This is a generic format used by a variety of applications for storing data. However, only the file created by Outlook will be recognized by Integr@te.
To export items from the calendar, click the “Export” button on the top right above the calendar. This will open a box providing further parameters for export. You can select to export items from a particular group, of a particular type, and during a particular range. Lastly, you will see a dropdown on the bottom left indicating which type of file you would like to export. Only two options are available. “XML” is the format used by the Integr@te calendar. Use this format if you want to backup your calendar for later. iCalendar is format that is recognized by a variety of applications including Outlook, Google Calendar, and iCalendar. Use this format if you want to export the items to another calendar application.
